Project Phases

1.Pre-Production Design

8 Dec 2025 – 11 Jan 2026

Safety was built into the event from day one. We reviewed 45+ booth designs, 4 lounge designs, and all structural calculations alongside the Partner Production team. We prepared Qatar Civil Defence documentation and assessed Risk Assessments and Method Statements (RAMS) for every high-risk activity.

2.Load-In & Build

20 Jan – 31 Jan 2026

The highest-risk phase, with contractors, lifting operations, electrical work, and temporary structures all happening at once. We ran site inductions, supervised high-risk works, and carried out routine safety inspections throughout.

3.Event Days

1 – 4 Feb 2026

Four days of live operations focused on crowd safety, emergency readiness, and public health. We monitored crowd movement, coordinated with medical and security teams, and managed hygiene controls. Zero major incidents across all four days.

4.Dismantling

5 – 8 Feb 2026

Controlled breakdown of all temporary structures with continued safety enforcement, particularly around work at height, waste management, and vehicle movements. Completed on schedule with zero reportable injuries.

Challenges & Lessons Learned

Key Challenges

  • Repeat safety violations by some contractors despite warnings, rooted in poor organisational safety culture.

  • Difficulty obtaining required safety documents from builders unfamiliar with compliance requirements.

  • Some builders deviated from approved designs and used uncertified materials, risking structural failure.

Recommendations

  • Zero-tolerance policy with an enforced penalties table for repeat offenders.

  • Clearer processes for collecting safety documentation from builders earlier in the timeline.

  • Structural engineers present from the build phase to catch design deviations early.

  • Ongoing review and improvement of the safety management system between events.

Outcome

Web Summit Qatar 2026 concluded without any major incidents, injuries, or public health concerns.

  • All safety objectives met across every operational phase
  • Proactive planning and on-site supervision kept risks managed throughout
  • Strong coordination between all stakeholders from design through dismantling
